How to calculate hours worked
- Write down your time in and time out for each day.
- Subtract the time in from the time out. If you worked past midnight, add 24 hours.
- Subtract unpaid breaks, like a 30-minute lunch.
- Convert the minutes to decimals (divide by 60) and add up all the days.
- Multiply by your hourly rate. Hours over 40 in the week are usually paid at 1.5 times your rate.
Example: 8:00 AM to 5:00 PM with a 30-minute lunch is 8 hours 30 minutes, or 8.5 hours. Five days like that add up to 42.5 hours: 40 regular hours and 2.5 overtime hours. At $20 an hour, that is $800 + $75 = $875 gross pay.

Overtime rules
Federal law (the Fair Labor Standards Act) requires overtime pay of at least 1.5 times the regular rate for hours over 40 in a workweek for non-exempt employees. A workweek is a fixed period of 7 consecutive days, so overtime is not averaged across a two-week pay period.
Some states add their own rules. California, for example, pays overtime after 8 hours in a day and double time after 12. Our bonus tax calculator covers how extra pay is taxed.
Frequently asked questions
How do I calculate total hours worked?
For each day, subtract your time in from your time out and then subtract unpaid breaks. Add up the days to get your weekly total. For example, 8:30 AM to 5:00 PM with a 30-minute lunch is 8 hours.
How do I convert minutes to decimal hours?
Divide the minutes by 60. For example, 45 minutes is 45 ÷ 60 = 0.75 hours, so 7 hours and 45 minutes is 7.75 hours. Payroll uses decimal hours to multiply by your hourly rate.
When do I get overtime?
Under the federal Fair Labor Standards Act, non-exempt employees earn 1.5 times their regular rate for hours over 40 in a workweek. Some states, like California, also pay overtime after 8 hours in a single day.
Does this time card calculator handle overnight shifts?
Yes. If your time out is earlier than your time in, the calculator assumes the shift ended the next day. For example, 10:00 PM to 6:00 AM counts as 8 hours.
